Dear NSS members

Greetings!

The term of current Board of Directors (BOD) members and President will expire at the end of August 2025. Therefore, on behalf of Nepal Seattle Society (NSS) 2025 General Election Committee, we are excited to call for nominations for passionate individuals to join the NSS Board of Directors and the  President for the new 3-year term 2025 – 2028.  Now is the time to nominate yourself or someone you know to help drive the future of NSS. Nominations are due between July 22 and July 26, 2025 11 PM Pacific Time.

The election committee would like to announce the date and time of the election processes as described below.

1. Last date of valid NSS  membership for election purposes: According to the NSS bylaw (URL to the NSS by laws add here), those who  a valid membership by 7/21/2025, 11 PM Pacific Time  will have the right to both cast a vote and file a nomination for the BOD. All are invited to become a member of NSS by 7/21/2025, 11 PM Pacific Time. For membership please use online membership in NSS website or contact Nepal Seattle Society at [email protected].
2. Date of Nomination for BOD Candidacy: The Candidate Nomination dates will be from 7/22/2025 – 7/26/2025,11 PM Pacific Time.
3. Candidates Name Publish: Name of the candidates will be published on 7/27/2027, 11 PM Pacific Time.
4. Petition against any Candidate and withdrawal of Candidacy : Any valid member of NSS including the Candidates may file a petition against any of the nominees and any candidate may withdraw their candidacy by 7/30/2025, 11 PM Pacific Time. The election committee may verify with the legal team of NSS and other government agencies.
5. Name list of the candidates  will be shared with the NSS members by 8/2/2025, 11 PM Pacific Time. Individuals who nominate themselves will be asked to express their interest in the BOD or the President, and outline their professional experience, nonprofit leadership, and engagement with NSS. The election committee  will share candidate information through  email, websites and social media platforms partnering with NSS.
6. Last date and time:  Candidates can reach out to the voters ( NSS Members) by 22nd of August 2025, 11 PM Pacific Time.
7. Voting date  and time: NSS members will cast their vote through a secure electronic voting system. Voting period is between 8/23/2025 8AM Pacific Time and 8/25/2025 by 11PM Pacific Time. To cast their votes, NSS members should  use their email OR phone number which they provided during NSS membership enrollment. The election Committee may use one of these two verification methods (your email OR phone) when you cast the vote.
8. Election Result Announcement: The election results will be announced by 8/26/2025, 11 PM Pacific Time.
9. Joint Meeting: The Election committee will organize a joint meeting on 8/29/2025 to introduce the newly elected incoming BOD and the outgoing BOD

Board of Directors and the President Positions

Per NSS bylaws amendment of 2019 Article 3 , 13 Board of Directors that includes one President, will be elected, and 2 additional positions for BOD will be reserved for either past NSS president or a NSS founding member with potential maximum 15 BOD per term. There will be 1 position open for the President, but the candidate for the President needs to apply to be a member of BOD as well.

Depending on the number of nominations filed, the Election Committee  will decide whether or not to hold a general election for the BOD and the President. Please see below the scenario of electing BOD and President.

Presidential candidates have to be elected from the top 13 voted candidates for BOD. If we get 2 or more candidates for the President, Candidate with the highest vote will be elected as President. And the 2nd candidate may be elected as BOD, If the candidate is among the top 13 voted BOD candidates.

In case if no one applies for the post of President and at least 9 BOD are elected, Elected BOD will nominate all the officers including President, VP, Secretary and Treasurer .

If 8 or less BOD are elected, the panel of elected BOD, Existing BOD and the Election committee will nominate the rest of the BOD.

Time commitment for elected BOD and President:

• One meeting via conference call per month (that depends on the BOD). Extra projects, events and committees may require extra calls per month.
• Minimum TBD hours per month working on NSS projects, committees, events, presentations, meetings etc.
• In person meeting up to TBD times per year, 6-12 days: The Board meets as a group once per year for the AGM. Board holds a Conference as needed.

Requirements:

Be a member of NSS in good standing. Membership fees information is here and please join by July 20th 11 PM PST to file for BOD and President candidacy. (Individual $10, Student $5, Family $20, Individual Lifetime $200)

Minimum age requirement for BOD and President candidacy is 21 years and the voting right age for eligible member is  18(Eighteen) years and above, residence of Washington State,

Have a passion for our values and mission.

• Attend all board meetings, and can not miss more than 3 meetings without valid reason.
• Agree to adhere to the NSS Code of Conduct, representing yourself and the Society in a positive way.
• Have a person that you trust to advise/help/support you in the role as needed to participate and this person will give their contact info to NSS.
